JOB DESCRIPTION:  Administrative Assistant

Provide administrative support by performing clerical functions including yet not limited to: preparing correspondence, answering calls, arranging conference calls, scheduling meetings, processing invoices, handling information requests and disseminating all communications to the proper people.

Main Job Tasks and Responsibilities:

  • Answer, screen and transfer inbound phone calls
  • Receive and direct visitors and clients
  • General clerical duties including photocopying, scanning, fax and mailing
  • Maintain electronic filing system
  • Retrieve documents from filing system
  • Handle requests for information and data
  • Resolve administrative problems and inquiries
  • Prepare written responses to routine enquiries
  • Prepare and modify documents including correspondence, reports, drafts, memos and emails
  • Create and revise spreadsheets
  • Schedule and coordinate meetings, appointments
  • Open, sort and distribute incoming correspondence
  • Maintain office supply inventories
Education and Experience:

  • Minimum education: High school diploma or equivalent
  • 1 year of prior clerical experience
  • Computer skills, proficiency in Microsoft Office
  • Knowledge of operation of standard office equipment.
  • Knowledge of clerical and administrative procedures and systems such as filing and record keeping
  • Knowledge of principles and practices of basic office management

  • Communication skills – written and verbal
  • Demonstrated competency in word processing, spreadsheets, database, e-mail, and Microsoft Windows/Office applications required.
